[RE]DESIGN's Copy Published Files and Copy Delivery apps can be used when you need to make any copies of files that have been logged in ShotGrid, all without digging through folders and hunting for specific files. Simply select the Versions you need to copy and then let the app copy the associated media on disk to the location of your choosing.
When to use the Copy Published Files or Copy Delivery Tool
Any time you need to make copies of media on disk, you should consider using the Copy Published Files app. For example:
- Copying reference images to send to a vendor
- Copying QuickTimes to a laptop to view on set
- Copying final image sequences to send to the digital intermediate facility
- Copying files for archiving
Considerations Prior to Using the Tool
For the app to work correctly, the locations for the source files must be logged correctly in SG, and you must have access to those locations. If the files have been moved since they were logged in SG, or if you can’t connect to the drive they’re stored on, the app will not be able to copy the files.
Note: The app primarily uses the locations specified in the Published Files linked to Versions, which are created on Ingest and Import.
Preparing to Copy
To begin, you need to select some Versions with the media to copy in ShotGrid. Then right-click the selection and choose “Copy Published Files...”, or on a Delivery choose "Copy Delivery...". If you use Copy Delivery, it will include the Delivery name in the path automatically.
Note: You must have the ShotGrid Desktop app installed.
Tip: If you need to copy media from several different Versions, you may find it easier to add everything you need to copy to a Playlist instead. You can then select the Playlist and choose the “Copy Published Files...” action.
The app will then launch.
Choosing Where to Copy Published Files
To choose where to copy the files to, click “Set Location...” and browse for the destination folder.
You can change how files are organized in the destination folder by choosing the appropriate template under “File Structure”:
- “Flat” will copy files to the destination without creating subfolders (except for image sequences which will be grouped within a subfolder based on the version name).
- “Preserve” will create subfolders at the destination based on where the files were originally.
Tip: The Copy Media app can be configured to include additional templates.
Choosing What to Copy
To choose which types of files to copy, check the relevant options under “Formats to Copy”.
Note: The available formats will depend on how the app has been configured.
To generate an RV session file in the destination folder along with the media, make sure “Create RV Session File” is checked. This file will be called “rv_session.rv” and will store metadata from ShotGrid that RV can use even when not logged in to ShotGrid.
Previewing What Will Be Copied
The “Media” section at the bottom of the app shows a list of files that will be copied. From here, you can uncheck specific files to prevent them from being copied. If any potential issues are detected, there will be a warning icon next to the file (in which case, hover over the icon to display the specific issue).
When you’ve confirmed everything looks good, click Copy. The app will then proceed to copy the files. You’ll see a summary once all the files have been copied.
If you like, you can then click “Open Location” to open the destination folder and view the copied files.
Using Copy Media with Published Files
The Copy Media app can be configured to copy the files referenced by all associated Published Files instead of the path fields on the Version. This can be useful if you want to copy additional file formats, for example CDL or zip files, that are created as Published Files but not tracked in fields on the Versions themselves.
In this case, you’ll be given the option to choose files to copy based on their Published File Type:
